Operating principle
Keep the work in context. In LongField, the matter becomes the working context for people, documents, communications, dates, work, billing, and money. Firm and workspace access must be configured so each person sees only the records and actions appropriate to their role.
Administrative responsibilities
- Maintain firm/workspace membership and review assignments when a person's role changes.
- Confirm calendar, financial, document, and client-facing access separately where those controls are available in the selected release.
- Review matter status, responsible owner, next action, and relevant dates.
- Establish document naming, phase, and retention conventions that fit the firm's process.
- Review import results and source relationships before accepting migrated data.
- Keep administrator credentials under customer control and follow the release-specific credential and backup instructions.
- Use the documented recovery procedure and record changes through the product's available audit mechanisms.
Daily operations
Use the matter record to follow related correspondence, documents, deadlines, work, billing, payments, and operational history where those features are enabled in the installed release. Confirm extracted or recognized information before relying on it. Document generation and OCR do not make legal decisions.
Change and recovery
Before upgrades or configuration changes, review the release notes, verify a recoverable backup, and test in a controlled environment. Exact update commands and recovery steps are release-specific and will be published with the verified package.
